The College of Arts and Letters is searching for a few on-call Administrative Assistants to join our team. With over 20 departments that serve 500 faculty, 3,000 undergraduates and 1,000 graduates, we have a need for a on-call Administrative Assistant team.
The on-call Administrative Assistant team provides support throughout the year to help our departments if their permanent staff are on leave, if we have a temporary vacancy or if there is a large project that we need additional assistance on. These positions are considered on-call, depending on departmental needs. The hours are typically 8am – 5pm, M-F.

Our Administrative Assistants provide administrative, organizational, and clerical support to staff, faculty and students within the college.
Essential Duties:
Essential Duties:
- General office duties including but not limited to answering the phone, greeting students, faculty and guests, organizing and distributing mail, creating and maintaining a filing system for the department, and ordering and overseeing office supplies
- Prepare correspondence and business reports for the Chair or department director
- Manage department and chair calendars
- Make meal, hotel, travel and room reservations for department guests
- Plan and schedule events such as faculty meetings, conferences, symposia, annual retreat, annual commencement reception, parties, and guest lectures
- Manages logistics for essential functions such as faculty recruiting and undergraduate course scheduling
- Facilitate classroom change requests
- Schedule meetings, events, and rooms used by instructors for extra-curricular use
- Orders office supplies
- Provides other support including communications, electronic recordkeeping, and database management
Minimum Qualifications
1-2 years of administrative experience
Preferred Qualifications
- Strong interpersonal skills and service orientation
- Ability to organize and prioritize a diverse workload in a busy environment
- Ability to handle multiple tasks and frequent interruptions effectively
- Excellent oral and written communication skills
- Accuracy and attention to detail
- Ability to function as a member of a team to fulfill the team’s responsibilities
- Proficiency in the use of the Internet, email, business software (word processing, spreadsheet, database, calendar, google drive environment)
